Receiving E-invoices

Q1. Where do I view incoming e-invoices from suppliers?

You may check incoming bills (purchase invoices) or purchase credit notes sent via the InvoiceNow under Mailbox > E-invoices > Inbound.

There are 3 different sections:

Q2. How do I respond to an incoming e-invoice?

  1. Go to Mailbox > E-invoices > Inbound > Action Needed

  2. Select a transaction to view its details

  3. Do one of three actions:

    • Accept: An active bill or supplier credit note will be created. This will send an acceptance response to the supplier and cannot be reversed. The transaction will move to the Accepted tab, and also appear in the Outbound > Eligible section, where you will be able to submit it to IRAS (if it is tax applicable).

    • Reject: This will send a reject response to the supplier and cannot be reversed. The transaction will move to the Rejected tab.

    • Send query: You can send a customized message to the supplier. There will be no change to the e-invoice and its status. If the supplier makes any changes, you will receive another e-invoice.

You may also select multiple e-invoices and Accept, Reject or Send Query in bulk.

Q3. How do I send submit received e-invoices to IRAS?

After accepting the e-invoice, an active bill or supplier credit note will automatically be created. If it is tax applicable, it will automatically appear in Mailbox > E-invoices > Outbound > Eligible. Refer to this guide on how to submit e-invoices.
