Q2. How do I set up a contact's Peppol ID?

  1. Create a new contact or edit an existing contact

  2. Click on Custom Fields

  3. Add the contact's Peppol ID in this format: 0195:SGUEN followed by the registration number (e.g. 0195:SGUEN12345678A)

  4. Click Save

Note: You will also need to fill in the customer's billing address line 1 to send sales invoices or customer credit notes to them successfully.

Q3. How do I create and send e-invoices?

There are three ways to do it:

Method 1: When you create the transaction

This is only valid for sales invoices or customer credit notes, to customers with a valid Peppol ID, and with a valid tax profile applied.

  1. Create the invoice as per normal

  2. Select a customer with a Peppol ID

  3. Enable e-invoicing on the side bar

  4. Save the invoice

The e-invoice will be sent to both the counterparty and IRAS.

Method 2: After you create the invoice (batch send)

This is valid for all transactions with a valid tax profile applied (sales invoice, customer credit note, bill, purchase credit note, and journal entries).

  1. Go to Mailbox > E-invoices > Outbound > Eligible

  2. Select the transaction(s)

  3. Click Send E-invoices

The e-invoice(s) will be sent to the counterparty (where applicable) and IRAS.

Method 3: After you create the invoice (individual)

This is only valid for sales invoices or customer credit notes, to customers with a valid Peppol ID, and with a valid tax profile applied.

  1. Select the transaction under Sales > Invoices / Customer Credits

  2. Click the Mailbox icon

The e-invoice will be sent to both the counterparty and IRAS.

Q4. Which transactions are eligible to be sent as an e-invoice?

To appear in Mailbox > E-invoices > Outbound > Eligible, the transaction must fulfil:

  • All the following criteria:

    • Belongs to the organization;

    • Not deleted;

    • Status is active (i.e. not draft, void, pending approval); and

    • Transaction date is on or after the date they're onboarded to InvoiceNow and/or GST InvoiceNow on Jaz;

  • AND at least one of the following criteria:

    • Tax applicable (for GST InvoiceNow submissions to IRAS); or

    • Contact has a Peppol ID (for counterparty delivery, for sales invoices and customer credit notes only).

Q5. How do I check the status of my e-invoices?

You can check the status from Mailbox > E-invoices > Outbound > Sent. There are 3 different sections in this page:

Q6. What do the different submission statuses mean?

Multiple is shown when the counterparty delivery and IRAS submission statuses are different, for transactions that are sent to both parties. Hover over the status or click into the row to see the details.

Note that transactions that failed counterparty delivery will not be sent to IRAS (applicable to sales invoices or customer credit notes for contacts with a Peppol ID).

Q7. How do I submit point-of-sale (POS) transactions or petty cash purchases to IRAS through GST InvoiceNow?

POS and petty cash purchases can be aggregated and submitted as journal entries. Refer to Method 2 under Q3. How do I create and send e-invoices? for steps.

Q8. How are journal entries submitted to IRAS through GST InvoiceNow?

Journal entries can be submitted to IRAS as e-invoices if they fulfil the criteria listed under Q4. Which transactions are eligible to be sent as an e-invoice?

They will be automatically classified into supply or purchase transactions, or split into supply or purchase transactions, based on the following:
