Q1. What is Magic CSV?
Magic CSV creates invoices and bills from a CSV in any layout, such as an export from another accounting software, an online store, a POS, or your own spreadsheet.
In the app, it appears as Any CSV File under Import Invoices and Import Bills.
Transactions imported using Magic CSV are created as active upon import.
Q2. What does my file need?
A .csv file of up to 10 MB and 5,000 rows.
One row per line item. Rows with the same reference become one invoice or bill.
Columns for Reference, Item / Description, and Unit Price.
Dates in dd/mm/yyyy or mm/dd/yyyy.
Jaz skips title rows, blank rows, and total rows.
Notes:
If your file has no column for Customer or Supplier, Date, Due Date, Currency, or Account, you can set one value for all rows during the import.
Dates that start with the year, such as 2026-09-15, aren’t accepted. Convert them to dd/mm/yyyy or mm/dd/yyyy before uploading.
If you map a tax column, fill in a tax value on every row. Rows without one fail with “Invalid tax profile.”
If your file has names with ñ or other special characters, save it in Excel as CSV UTF-8 so they import correctly.
Transaction limits based on your subscription plan still apply.
Q3. How do I import invoices or bills from a CSV file?
Open the import: go to Sales → Invoices, click the arrow next to New Invoice, then select Import Invoices → Any CSV File. For bills, go to Purchases → Bills, click the arrow next to New Bill, then select Import Bills → Any CSV File.
Upload your file: drag and drop your CSV or click to browse.
Map columns: check each suggested field and fill in any missing columns.
Resolve values: match any values marked Needs Attention.
Review and finish: check the documents to be created, then click Finish.
The import runs as a background task. See Background Task.
Q4. How do I map my columns?
Jaz suggests a field for each column it recognizes, including headers exported from other accounting software.
Check each suggestion and change it from the dropdown if needed.
Set columns you don’t need to No field.
Required fields without a column are listed under Missing columns. Choose a value for each, and it applies to every row.
Reference, Item / Description, and Unit Price can’t be set this way. Map a column to each.
Note: When Quantity and Unit Price are mapped, Jaz calculates each line from them and ignores any mapped Total Amount or Tax Amount column.
Q5. How do I set the date format and VAT?
Jaz detects the date format from each date column.
If every date in a column can be read both ways, such as 03/04/2026, a red icon appears next to the preview value. Click it and choose dd/mm/yyyy or mm/dd/yyyy.
The GST setting follows your transaction default. To change it, click the icon next to the Tax Profile preview value and choose one of the following:
Included in Price: your amounts already include GST.
Excluded in Price: GST is added on top of your amounts.
Note: If your amounts exclude GST, as in exports from some accounting software, choose Excluded in Price.
Q6. Can I import tracking tags, nano classifiers, and custom fields?
Yes. In Map Columns, assign your columns to the following fields:
Tracking Tags: applied to the whole invoice or bill.
Nano Classifiers: applied to each line item.
Custom Fields: added to the invoice or bill.
Note: Tracking tags, nano classifiers, and custom fields must already exist in Jaz so you can choose them in Map Columns. See Transaction Data Enrichments.
Q7. Can I import withholding tax on bills?
Yes. Map your ATC column, such as “WC 160 - 2%”, to Withholding Tax.
Map the gross amount as the bill amount, not the net payable after withholding tax.
Q8. How do I resolve values that need attention?
Jaz matches the values in your file to your customers or suppliers, accounts, currencies, tax profiles, and withholding tax codes.
Each section is marked Ready or Needs Attention, and each value shows how many rows use it.
Matching ignores capitals, extra spaces, and punctuation. If two records look alike, the value goes to Needs Attention so you can pick the right one.
For each value that needs attention, choose one of the following:
Existing record: select it from Top Suggestions or the full list.
Add as new: creates the customer or supplier.
Skip Rows: leaves out the documents that use the value.
Leave blank: imports without the value, for optional fields only.
Contacts added this way have a name only. Add the TIN and other details after importing.
Accounts and tax profiles can’t be created during the import. Add them in Jaz first.
For tax profiles, pick a sales tax profile on invoices and a purchase tax profile on bills. Each tax code in your file maps to one tax profile.
For accounts, pick a revenue account on invoices and an expense account on bills. Jaz doesn’t warn you if you pick the wrong type.
Note: A customer-only contact can’t be used on a bill, and a supplier-only contact can’t be used on an invoice.
Q9. What do I check on the Review step?
Review Before Import shows:
The total to be imported, in your base currency
The number of new customers or suppliers
The documents to be created, with reference, contact, date, account, and total
Any documents with errors, with the column, row, and error
Documents with errors are left out. You can continue without them, or fix your file and upload it again.
Row numbers count data rows only, so Row 8 is row 9 in your spreadsheet.
Dates on Review are shown as mm/dd/yyyy.
Review doesn’t show due dates or GST amounts, so check these in your file before importing.
Q10. How do I reuse my import settings?
On Review, keep Save import settings selected to save the column mapping. The next file with the same columns skips Map Columns.
When you upload a file with the same columns, click Use Template on the Saved Template Found card.
Saved settings cover the column mapping only. You still need to match values in Resolve Values for each import.
If the file has changed, a Template Changed card appears. Click See Changes to view each column marked as one of the following, then click Continue:
New: the column wasn’t in the template.
Removed: a template column is missing from this file.
Type Changed: the column has the same header, but a different kind of data.
When the file has changed, Review also asks whether to save the new layout. Choose Update Template to save it, or Keep Current Template for a one-off file.
Q11. What can’t I import with Magic CSV?
Payments, so paid invoices and bills are imported as unpaid
Updates to existing invoices or bills
Note: Make sure your references aren’t already in Jaz before importing. To reverse an import, void the imported documents.
Q12. What happens if I upload a similar file again?
Jaz reads the file and checks whether it matches a saved template.
If the columns are the same, a Saved Template Found card appears. Click Use Template to apply the saved column mapping and skip Map Columns.
If some columns have changed, a Template Changed card appears. Click See Changes to view each column marked as one of the following, then click Continue:
New: the column wasn’t in the template.
Removed: a template column is missing from this file.
Type Changed: the column has the same header, but a different kind of data.
On Review, choose Update Template to save the new layout, or Keep Current Template for a one-off file.
